At Apharwat Tour & Travels, we understand that travel plans can change. This Refund & Cancellation Policy outlines your rights and our process when you need to cancel or modify a booking. Please read carefully, as terms vary by service type.

1. General Cancellation Terms

Cancellation requests must be submitted in writing via email to [email protected] with your booking reference number.
The date and time of your email (or our working hours) determine the cancellation notice period.
All refunds, if applicable, will be processed within 7–10 business days to the original payment method.
Any payment gateway or bank transaction fees are non-refundable.

2. Tour Packages & Custom Itineraries

Cancellation 30+ days before departure: 90% refund (or 100% travel credit valid for 12 months).
Cancellation 15–29 days before departure: 50% refund.
Cancellation 7–14 days before departure: 25% refund.
Cancellation less than 7 days or no-show: No refund.

Note: For special or peak-season packages (e.g., New Year, Christmas, Tulip Festival), cancellation terms may be stricter. You will be informed at the time of booking.

3. Hotel Bookings

Free cancellation: Available on select "Free Cancellation" hotels up to 48 hours before check-in (full refund).
Standard hotels: Cancellation 7+ days before check-in – 80% refund; 3–6 days – 50% refund; less than 3 days – no refund.
No-shows or early check-out: No refund for unused nights.

4. Flight Bookings

Flight cancellation and refund are strictly governed by the airline's policy. We act as an intermediary and will assist you with the process.
Most budget airlines offer zero refund on cancellation. Some airlines provide partial credit or refund minus fees.
Apharwat Tour & Travels charges a ₹500 per passenger service fee for flight cancellation assistance (non-refundable).

5. Cab / Transport Bookings

Cancellation 24+ hours before pickup: Full refund minus 10% service fee.
Cancellation less than 24 hours before pickup: No refund.
If the driver is already en route, cancellation fee may be 50% of the trip cost.

6. Sightseeing & Activity Bookings

Full refund if cancelled 48+ hours before activity start.
50% refund if cancelled 24–48 hours before.
No refund if cancelled less than 24 hours or no-show.

7. Refund Process & Timeline

Refunds are initiated only after we receive confirmation from the service provider (airline, hotel, etc.).
Once approved, refunds are processed via the same payment method used at booking.
UPI / Wallet refunds: 2–3 business days.
Credit / Debit card refunds: 5–7 business days (depends on your bank).
Bank transfer refunds: 7–10 business days.

8. Non-Refundable Items

Visa processing fees (if we assisted).
Travel insurance premiums.
Service fees for changes or name corrections.
Any "non-refundable" deposit clearly marked at booking.

9. Cancellation Due to Force Majeure

In the event of government-imposed lockdowns, natural disasters, or travel bans, we will offer a travel credit (valid for 12 months) instead of a cash refund. No cancellation fees apply in such cases, but we cannot guarantee refunds from third-party suppliers (airlines, hotels).

10. How to Cancel or Request a Refund

Email [email protected] with your booking ID and reason for cancellation.
Our team will confirm receipt within 24 hours and provide next steps.
If applicable, we will share the refund amount and timeline.
Refunds are processed automatically after your approval.
